Practical examples: How you can benefit from electronic procurement systems

Many resources are still spent on products and services purchased directly (materials that are not part of the production process). Procuring these products is often complicated and therefore costly. This is especially true for low-value items purchased frequently – the so-called C-parts. We will illustrate two practical examples of manual versus digital procurement processes.

Manual procurement processes
have costly consequences.


A company in the food industry has not yet digitized its ordering processes. As a result, employees are assigned to unproductive tasks to keep existing processes running. At irregular intervals, the demand from various product groups, departments, or locations is determined, and lists are forwarded to the purchasing department by phone or email. The purchasing department then searches for the items in the catalogs of various suppliers and places orders. This is done online, by phone, or by email. Since not all items in the catalogs can be sourced from a single supplier, there are numerous orders, each of which must be filed separately. The customer receives order status updates—order confirmation and shipping notification—from the various suppliers, if at all, and then only through different communication channels. The purchasing department then forwards these updates to the employees who requested the goods. When the goods finally arrive, the employees must confirm this to the purchasing department. The purchasing department then receives the supplier's invoice, checks it, approves it, and forwards it to the accounting department for payment.

Many companies also still use complicated forms and approval processes, paper delivery notes, or immature electronic data exchange using Excel spreadsheets. These processes make the supply chain inefficient and limit a company's effectiveness and, consequently, its flexibility.

The steps described are repeated for every single order, regardless of whether it involves the purchase of new equipment or consumables. The ordering process is particularly expensive for companies when it comes to the latter, namely low-value C-parts purchased frequently.

A mechanical engineering company regularly orders technical products from DEXIS Austria and wants to make the processes as efficient as possible. To achieve this, a combination of the OCI 5.0 interface for product selection and price research, and an EDI (Electronic Data Interchange) interface for ordering and order processing, is used.

The mechanical engineering company uses an ERP system that supports both OCI 5.0 and EDI. The OCI link from DEXIS Austria is stored as a catalog in the customer's ERP system, while the EDI interface is set up for electronic data exchange.

As soon as a buyer at the mechanical engineering company needs technical products, they open the ERP system and use the OCI interface to access the technical supplier's webshop directly. Using background search, the same item can be queried in multiple online shops, and the buyer can select it from a list of results. Prices and availability are always up-to-date. The completed shopping cart is then transferred back to the customer's ERP system via the OCI interface, where the product data is automatically integrated into the order process.

Within the ERP system, the customer's order process now goes through all necessary internal review steps, such as budget checks and the approval workflow. Once the order is approved, it is transmitted to DEXIS Austria via the EDI interface. EDI enables the order to be sent directly to the retailer's system in a standardized electronic format, making the process significantly more efficient and error-free.

Upon receipt of the EDI order, DEXIS Austria automatically processes it in its ERP system. Order confirmations, shipping notifications, and invoices can also be exchanged via the EDI interface. The customer receives the corresponding status updates directly in their ERP system and can thus track the entire order process seamlessly.

The combination of OCI 5.0 and EDI offers significant advantages. The OCI interface enables convenient and precise product selection. The EDI interface ensures fast, automated, and error-free transmission of orders, order confirmations, and invoices. This automation and integration not only optimizes the purchasing process but also ensures seamless and efficient collaboration. 

Overall, the combination of these two interfaces leads to significant time savings, a reduction in manual errors, and improved efficiency throughout the entire procurement process. The close integration of the systems also creates transparency and consistency, as all relevant information and status updates flow directly back into the customer's ERP system. This allows both parties to benefit from an optimized and highly integrated procurement process.

E-commerce (electronic commerce) is the sale of products and services online. The term e-commerce is most commonly used in the B2C sector, but also refers to online shops for B2B customers. B2B and B2C e-commerce differ in some aspects, such as target audience, price point, and decision-making process. What they have in common is that in both cases, people make purchases in front of screens and therefore value high usability and user experience. One example is the DEXIS Austria online shop. E-Company (Electronic Company) refers to the exchange of information between companies. The focus is on the collection, storage, and reprocessing of information.
